Booking Terms & Conditions

Please read the following carefully before making your ProCocktails booking

These terms & conditions apply to all contracts for the provision of services to the exclusion of any other terms and conditions. Booking confirmations made verbally or via a written form, ie, email, text, or letter, are subject to these same terms and conditions.


By purchasing products and/or services from ProCocktails, you agree to accept these terms of sale. The terms outlined herein do not replace or affect your statutory rights. In these terms, ‘you’,  ‘your’ and ‘client’ refers to the customer; ‘’we’, ‘us’ and ‘our’ refers to ProCocktails.

ProCocktails accepts no variation of these terms & conditions unless agreed in writing in advance.


To secure a service with ProCocktails, a 50% booking deposit of the total cost of the service/s you require must be paid in advance to secure the date of your booking. This is treated as a pre-payment for your event and it is non-refundable.


In the event of cancellation, the booking deposits are transferable up until fourteen (14) days prior to the date of the event date unless previously agreed in writing.


All verbal and emailed quotations will be valid for seven (7) days from the date of enquiry. ProCocktails cannot guarantee that the date you require will be available once those 7 days have passed. To confirm a booking, you must provide a 50% booking deposit, either by credit or debit card, or electronic transfer, within seven (7) days of receiving our invoice.

The remaining balance is due no later than two weeks before the event date. Any additional hours or fees requested on the event date must be paid no later than seven (7) days following the event unless a contract is prepared and signed by ProCocktails that states otherwise. Any payments that are due but have not been paid by the due date will be passed to a collections agency. If such action becomes necessary, you will become liable for any fees charged by the collection agency.

Access, Parking & Loading:

It is your responsibility to ensure that adequate parking is provided for ProCocktails vehicle/s. Vehicle registrations can be provided if required. If ProCocktails is supplying portable bar units, stock, ice and/or glasses, suitable unloading and loading locations must be provided. Any delays to service arising from the provision of unsatisfactory unloading facilities will not be the responsibility of ProCocktails.

Mixologists’ Service:

Our Mixologist(s) will provide service for the agreed service hours from the start time until the end time, as determined by your booking instructions, and as confirmed by us to you on your invoice. This time cannot be adjusted within 12 hours of your event start time and cannot be altered by any more than three hours either earlier or later than the originally agreed start and end times. The Mixologist(s) reserve the right to refuse to provide service after the end time unless the client signs the appropriate Mixologists’ event sheet (supplied by us at every event).

ProCocktails guarantees to make drinks-making our priority. When hiring a Flair Mixologist it is on the strict understanding that if the bar is busy, your bartender may not have an opportunity to flair and entertain. ProCocktails reserves the right to ensure that priority is given to clients having their drinks mixed and served over entertainment. If you prefer otherwise, please inform us in writing, in advance of the date of your event.

If you intend to provide your own ingredients, glassware, bar, and/or ice, we will advise you on what to buy with a shopping list. If you provide inadequate, or poor quality supplies, of any of the above, this may impair on your enjoyment of the drinks that are mixed. ProCocktails cannot be held responsible for the quality of any items that you supply.

All-Inclusive Cocktail Bar:

When providing the All-Inclusive Cocktail Bar Service (where ProCocktails supplies a complete service; portable bar units, staffing, drinks, glassware, ice, delivery), we estimate for a reasonable number of drinks per person. If the client supplies incorrect information relating to the number of guests, our estimations will be incorrect, and this can jeopardise the longevity of the supply of adequate drinks. Any stock remaining at the specified end time will be taken back by ProCocktails. Any additional time requested on the night will be calculated after the event and invoiced to you accordingly. Any additional charges are payable within seven (7) days from the invoice date.

Unlimited Cocktail Service:

When providing the ‘unlimited cocktails’ as part of the All Inclusive Cocktail Bar Service, this is usually based on the provision of your choice of five different cocktails during the hire period. However, these are limited by demand and clients should be aware that one or more of the selected cocktails may be more popular than others. Should this occur, that the supply of one or more of the most popular cocktails provided at the start may become exhausted and therefore may not be available for the the entire hire period. We reserve the right to offer guests one of the less popular choices of the booking as an alternative. It should be understood that ProCocktails cannot be held responsible should the supply of a cocktail provided at the start of a hire, become exhausted due to demand. 

Portable Bar Units:

When hiring our Portable Bars, or using the All-Inclusive Cocktail Bar Service, in the event of any damage being caused, beyond reasonable wear & tear, that can be attributed to the client or their guests, the cost of repair may be billed to the client. If the client requests that the bar be left overnight at the party, we will require a safeguard deposit to be paid as well as a next day collection charge.

ProCocktails aim to provide our bars in perfect condition. However, with working several events, general wear and tear, light scratches and marks may appear on the bar you hire. Although we inspect, repair and replace defective bars regularly, ProCocktails cannot be held responsible for any minor imperfections.


When glassware is hired by you, we aim to provide this from our own resources. However,  in certain circumstances, due to availability or location, we may have to use a third party company who may wish to deliver items on days surrounding the date of your event. In this case, we will liaise with you and the third party company to ensure delivery and collection are arranged to suit the interests of all parties. 

All glassware is audited after the event, and the client will be charged at four (4) times the hire rate for each broken or lost glass in the case of glassware that is supplied by a third party company. If ProCocktails is expected to collect glassware after the event, a collection fee will be charged. We require that all hired glasses are emptied of contents and placed back within the glassware racks provided for you to speed up collection time. It is advisable to make a note of glassware numbers at this point to ensure that you are billed correctly after the event for any lost or broken glassware.


We treat all complaints about our service, either in advance, during or after the event very seriously. If you are unhappy with the service while your event is taking place, the best thing to do is speak with the staff on site to see whether the problem can be rectified. If this is difficult or unrealistic to do, please telephone the office number, and we will do everything we can to resolve the issue. Your event cannot be replicated at a later date, so we need to know be aware as soon as possible if there is a way for us to enhance your enjoyment of your event right there. Complaints made post-event are more difficult to resolve, so we ask that video or photographic evidence to be provided, where possible to validate your claim. We also invite you to note down any issues on the Mixologists event sheet at the end of the night, so that the Mixologists can view these and verify the validity of any complaints.


ProCocktails is not responsible for acquiring temporary event notices for PayBar Service events unless required to in writing to assist. Similarly, we cannot be held accountable for any breaches of licenses that are beyond our control. ProCocktails promotes responsible drinking and is licensed with


Rates and invoices are subject to change depending on a client’s requirements, additional hours and stock. ProCocktails will give reasonable notice to the client of any price changes, but invoices and tariffs set out in the quotation provided to the client are not subject to change. Any additional hours not previously discussed will be charged at the full hourly rate, regardless of discount applied at the time of booking.

Balancing Payment:

If full payment is not received by the event date, we will be unable to provide our services, and any pre-paid deposits will be forfeited.


ProCocktails shall not be liable for any delay, loss or cancellation of service arising from any contingencies beyond our control, such as a hurricane, snow-caused road closures, flooding, ‘Act of God’ etc..  However,  if ProCocktails is deemed to be at fault, a full refund will be issued.

Although we aim to provide a highly professional and entertaining service, ProCocktails cannot be held responsible for the success or non-success of an event.

We ask that the client thoroughly checks the invoice to ensure that the venue address, mobile contact details, times and date are correct. We cannot be held accountable if our Mixologists arrive late if they are unable to contact the client to confirm the booking details. Please telephone the ProCocktails office number to verify that we have the correct information, before the date of the event.

Please be advised, that when hiring a service to provide alcohol, to comply with the law, you must be over 18 years of age to book ProCocktails.

The above conditions are subject to change at the discretion of ProCocktails, in part or in whole, for one or more of our clients, if we deem there are necessary causes for amendment.
